Klaviyo Integration
The Ramsys Klaviyo Integration automatically synchronises customer records from Ramsys to Klaviyo, creating new profiles or updating existing profiles whenever customer information changes.
This integration allows Klaviyo to maintain an up-to-date customer database for marketing, customer communications, segmentation, and automation workflows.
How the Integration Works
When a customer record is synchronised, Ramsys sends the customer's information directly to Klaviyo using the Klaviyo Profile Import API.
If the customer already exists in Klaviyo, their profile is updated. If they do not exist, a new profile is created automatically.
Once a profile has been successfully created or updated, the Klaviyo Profile ID is stored against the customer record in Ramsys for future reference.

The following information is synchronised to Klaviyo:

- Email Address
- First Name
- Last Name
- Mobile Phone Number

- Customer Number (stored as External ID)

- Address Line 2
- City

Ramsys Properties
The following Ramsys-specific properties are added to the Klaviyo profile:
|

Profile Creation and Updates
The integration automatically determines whether a customer profile should be created or updated.
No manual intervention is required.
When a successful response is received from Klaviyo:
- The Klaviyo Profile ID is returned.
- The Profile ID is stored against the customer record in Ramsys.
- Future synchronisations use the same profile.
Marketing Consent
The Ramsys Klaviyo Integration does not manage marketing subscriptions or consent preferences.
Customer records are synchronised to Klaviyo regardless of subscription status.
Marketing consent, subscription preferences, unsubscribe requests, and email compliance are managed within Klaviyo using its built-in consent management tools.
Transactional Communications
Businesses may still send non-marketing communications to customers where permitted by applicable legislation.
Examples include:
- Order confirmations
- Invoices
- Account notifications
- Loyalty program notifications
- Service announcements
- Delivery updates
These communications are typically considered transactional rather than promotional.
Error Handling
If Klaviyo rejects a profile update or returns an error:
- The error is logged by Ramsys.
- Synchronisation continues with remaining customers where possible.
- Administrators can review integration logs to identify and resolve issues.
Common causes of synchronisation failures include:
- Invalid email addresses
- Invalid phone numbers
- API credential issues
- Network connectivity problems
Best Practices
- Ensure customer email addresses are maintained accurately.
- Use Klaviyo segments to group customers based on Ramsys properties.
- Configure subscription forms and preference centres within Klaviyo.
- Build automated customer journeys using the synchronised profile information.
Summary
The Ramsys Klaviyo Integration provides automatic synchronisation of customer profiles from Ramsys to Klaviyo. Customer information, address details, and Ramsys-specific properties are maintained within Klaviyo, providing a foundation for customer communications, segmentation, and marketing automation.
