Marketing Consent (CRM Opt-In / Opt-Out)
Ramsys provides flexible options for managing customer marketing consent. Businesses can choose to collect consent directly at the point of sale or allow an integrated marketing platform, such as Klaviyo, to manage the process.
While both methods are supported, Allspoke recommends allowing your marketing platform to manage customer consent wherever possible.
Recommended Method – Marketing Platform Managed Consent
When Ramsys is integrated with a platform such as Klaviyo or Mailchimp, customers are invited to manage their own marketing preferences.
Rather than relying on a staff member to ask the customer and record the response, the marketing platform contacts the customer directly and asks them to opt in or opt out.
Advantages
- Customer provides consent themselves.
- Clear audit trail of when and how consent was given.
- Reduces the risk of staff selecting the wrong option.
- Customers can update their preferences at any time.
- Aligns with modern email marketing best practice.
- Improves compliance with privacy and anti-spam legislation.
This is the recommended configuration for most businesses.
POS Managed Consent
Ramsys can also be configured to ask for a customer's marketing preference while they are being added to the CRM.
In this mode, the staff member asks the customer whether they wish to receive marketing communications and records the customer's response.
Advantages
- Immediate collection of consent during the sale.
- No follow-up required from the customer.
Considerations
- Relies on the staff member asking the question consistently.
- Relies on the staff member recording the correct response.
- May be difficult to verify if consent is later disputed.
Using Klaviyo with POS Consent
If you choose to collect consent at the point of sale, it is generally recommended that Klaviyo Double Opt-In is disabled.
If Double Opt-In remains enabled:
- The customer is asked for consent by the salesperson at the POS.
- The customer is then asked again by Klaviyo.
This duplicates the consent process and may create unnecessary friction during customer onboarding.
Best Practice
For most businesses, the recommended configuration is:
- Allow Ramsys to capture customer details.
- Allow Klaviyo to manage marketing consent.
- Leave marketing preference decisions to the customer through Klaviyo.
- Use Klaviyo as the authoritative source for marketing subscription status.
This approach provides the best customer experience, maintains an accurate record of consent, and reduces the likelihood of disputes regarding how consent was obtained.
Recommendation: Unless your business has a specific requirement to collect marketing consent at the point of sale, Allspoke recommends allowing Klaviyo (or your chosen marketing platform) to manage customer opt-in and opt-out preferences.
