Loading an Ecommerce Order

Ramsys can download orders directly from your Shopify online store into the Point of Sale. This eliminates the need to manually re-enter sales, helping to save time, reduce data entry errors, and ensure pricing matches the customer's online purchase.

When an ecommerce order is loaded:

  • All items from the Shopify order are automatically added to the sales screen.
  • A shipping line will be added (provided the shipping code is set in your system setup)
  • Prices and discounts are imported exactly as they were on the online order.
  • Customer details are automatically transferred into the Ramsys CRM.
  • The sale can then be completed just like any normal in-store transaction.

The procedure

  1. Open the Sales screen as you normally would.
  2. Select Sales Options.
  3. Choose Load an Ecommerce Order.

You will be prompted to enter the Shopify Order Number.

Once entered, Ramsys will download the order and automatically populate the sales screen with:

  • The products purchased
  • Quantities
  • Selling prices
  • Discounts (where applicable)
  • Customer information

The order is now ready to be processed through the Point of Sale.

Completing the Sale

Once the order has been loaded, simply complete the transaction as you would any other sale. If the sale was paid for online, use the Ecomm payment type to ensure banking balances.

If required, you may also:

  • Add additional items to the sale.
  • Remove items from the sale.
  • Adjust the transaction to meet the customer's requirements before finalising the sale.
  • Use any other valid payment type or any combination as you would any other sale.

Customer Details

Every Shopify order includes the customer's contact information. When an order is loaded, Ramsys automatically synchronises these details with the integrated CRM.

To prevent duplicate customer records, Ramsys first searches for an existing customer using the customer's email address.

  • If a matching customer is found, the sale is recorded against their existing CRM record.
  • If no matching customer exists, Ramsys automatically creates a new customer record.

This provides a single customer history across both your physical store and your Shopify website, allowing you to see a customer's complete purchasing activity regardless of where they shop.

Requirements

Before this feature can be used, your Shopify integration must be configured.

If the option is unavailable or orders cannot be downloaded, please contact your Ramsys administrator or Allspoke Support to confirm that the Shopify integration has been correctly configured.
