Staff sales are a valuable tool for retailers. They help drive internal engagement, promote brand advocacy, and move stock at controlled margins. Offering your team the ability to purchase products at a discount not only rewards them, but also encourages familiarity with your product range — ultimately improving customer service and product knowledge.

Staff Sales in Ramsys

Ramsys provides flexible options for managing staff sales, allowing retailers to control pricing, authorisation, and monthly limits. Staff sales can be easily tracked and reported on for auditing and analysis.

Staff Sale Pricing Options

You can configure staff sales in Ramsys in several ways:

Retail - a fixed discount %

Cost + a %, plus GST

Fixed value pricing

Note: When using Cost + %, the system will use the Last Cost as the basis. This represents the theoretical replacement cost of the item. If there is no last cost it will fall to the avg cost and then fixedcost.

Processing a Staff Sale

To process a staff sale in POS:

On the Sales screen, click Options > Staff Sale.

The system will prompt you to select who the sale is for.

If configured, a prompt for Manager Authorisation will appear.

The appropriate staff pricing will be applied automatically.

Additional Controls

Ramsys allows you to configure optional staff sale controls, including:

Manager authorisation requirement for each sale.

Monthly staff sale limits, by value or quantity.

Audit and reporting tools for tracking staff sales by user, department, or time period.

Best Practice

We recommend leaving staff-specific pricing empty in the stock file. Instead, use the system-configured staff sale rules, which are automatically calculated based on up-to-date pricing. This ensures staff discounts adjust appropriately as prices change over time.
