CRM Member Verification

The CRM Member Verification screen provides a complete view of an individual customer’s details, purchase history, loyalty status, and communication preferences. It is designed to assist staff in verifying members, checking eligibility for rewards, and managing customer communication.


Member Details

At the top of the screen, the customer’s membership number, account name, and membership start date are displayed.

  • Member Number / Code – Unique ID used to identify the customer.
  • Account Name – Customer or business name.
  • Member Since – Date the customer first joined.
  • Photo – If available, the customer’s photo will be shown for quick identification.

Contact Information

The member’s primary contact details are listed for easy reference:

  • Address, Suburb, City, Postcode
  • Phone and Mobile
  • Email Address

CRM Information

  • CRM Tier – Customer’s tier level in the CRM system.
  • Next Contact – Suggested follow-up date.
  • RFM Status – Displays the loyalty status (e.g., Loyal Customer,Promising,At risk).
  • Communication Preferences – Options to exclude the customer from letters, emails, or SMS campaigns can be set by checking the relevant boxes.

Loyalty Information

On the right-hand side:

  • Loyalty ID – Customer’s loyalty card number.
  • Balance – Current loyalty point balance.
  • To Next Reward – Points required to reach the next reward.
  • Loyalty Class – Lists specific loyalty categories.
  • Count / To Go / Last Reward – Shows activity within loyalty classes, how many purchases are left until reward, and the last reward date.

Gift Vouchers

A table lists all active vouchers for the member:

  • Voucher Number
  • Face Value
  • Expiry Date
    Active vouchers will be highlighted in Red for quick visibility.

Transaction History

The bottom-left table shows recent purchase activity:

  • Trans Date – Date and time of transaction.
  • Docket – Transaction receipt number.
  • SSP – Salesperson code.
  • Description – Items purchased.
  • Quantity – Units sold.

This enables staff to quickly verify buying habits and product preferences, perhaps open a dialog with the customer.


Customer Notes

Important notes may be highlighted for staff attention. For example, “This customer is a legend!! Look after him” ensures the team delivers personalised service.


Vehicle Information

Where applicable, customer vehicle details are recorded:

  • Make, Model, Year – Useful for automotive or service-based businesses.

Actions

At the bottom-right corner:

  • Correct – Confirms customer details are accurate and up to date.
  • Incorrect – Alter/Discard – Allows staff to make corrections or flag issues with the record.

Membership Expiry

Ramsys may be used to track membership by expiry. In this configuration You can limit CRM rewards to members based on current membership. In the example above you will see the Expiry date is Current the Member icon is displayed, if it is past due to highlight this the field will be in red and the icon will not be visible. Expired members may still be used in the system, they will receive reward points for their sales but will not receive special pricing or promotions for CRM members.

You can modify membership in the CRM screen or by selling an item tagged as membership renewal.


Tip for Staff: Always verify the customer’s contact details and communication preferences when accessing this screen. This ensures accurate marketing, reward allocation, and personalised service.
